Pending payments are awkward for everyone. A clear, friendly reminder at the right time removes the awkwardness: it's just information, not an accusation.
A simple rhythm
- On the due date: a friendly heads-up with the amount and how to pay.
- 3 days after: a short reminder, offering help if something is holding it up.
- 7 days after: a phone call. People answer calls they would ignore on chat.
- After that: agree a date together, write it down, and follow up on that date.
Wording that works

Record what's real
Only mark a payment received when the money is actually in your account. A customer saying “I've paid” or sharing a transaction number is a reason to check — not proof. RootCue follows the same rule for its own billing.
